University of Free State: Housing & Residence Affairs Internship at

The University of Free State is looking for an Intern to join its Department of Housing and Residence Affairs from 1 January 2016. (Contract appointment: 1 year)

Duties and responsibilities:

Kovsie Inn:

  • Manage reservations.
  • Ensure that all guest reports, dockets and correspondence are completed accurately and punctually.
  • Ensure strict adherence to check-in and check-out procedures.
  • Report any faults to maintenance services.
  • Liaise with housekeeping on check-ins and check-outs.
  • Ensure that all takings for the day are correct, balanced and banked according to the policy and procedure.
  • Ensure that all charges are correctly entered onto each guest’s folio.
  • Balance float, cash and credit takings for shift and complete cashier report.

Conferences:

  • Deal with enquiries, sending out quotes and contracts.
  • Send out invoices to confirmed bookings and follow up on payment.
  • Prepare relevant documentation for residences in regards to conferences.
  • Assist with training of students prior to conferences.
  • Assist with meetings for residences prior to conferences.
  • Consolidate reports on conferences after the event.

Finance:

  • Assist in preparation of documents for appointment of Residence Committees.
  • Receive financial documentation.
  • Keep records of all Residence Committee Members.
  • Prepare journals.
  • Perform general financial administration.

Other:

  • Assist in other areas of HRA as needed.
  • Handle general administration, including filing and making of photocopies.

Requirements:

  • Relevant Bachelor’s degree.

Required competencies:

  • Good interpersonal and communication skills.
  • Willing to work assigned shifts and weekends.
  • Intermediate computer skills, including MS Word, Excel and the Internet.
  • Knowledge of TheHost bookings system or similar system.
  • Customer focused.
  • Organisational skills.
  • Ability to work within a team and function under pressure.

The following criteria apply to the selection of candidates:

  • Not currently participating in an existing learnership/internship programme.
  • Willing to sign a learnership/internship agreement with the UFS.
  • Candidate must be available for a period of 1 year to participate in the project.
